Job Description:

The Benefit & Leave Specialist is responsible for performing HR duties in a professional and confidential manner and works closely with management in supporting the enterprise. This position carries out responsibilities in the following areas: benefit administration, benefits policy implementation, qualifying life events, annual open enrollment and leave of absence administration.This role is also a subject matter expert for all facets of leave of absence administration & ADA. This includes but is not limited to Short Term Disability (STD) claims, Family Medical Leave Act (FMLA), Military (USERRA), Workers Compensation (WC-FMLA), personal leaves of absence FMLA, Personal Leave, Bereavement, Military, etc. This position works with our third-party administrators, operations leaders, and the employee on coordination of all company leaves and accommodations.Essential FunctionsProvides information to employees regarding health insurance benefits, coverage options, and enrollment processes.Responsible for managing benefit department phone callsMonitors the online enrollment system and administer daily benefits processingProcess enrollments, changes, and terminations with a high level of customer/employee serviceResponds to carriers regarding inquiries on coverage, claims, appeals, and subrogation.Processes various forms and documents between employees, leaders, and insurance providers such as new enrollments, addition of new dependents, changes in coverage, and benefit terminations.Uses HRIS system to maintain coverage for employees, generate reports, and perform audits (e.g., dependent age out, spousal eligibility, etc.).Oversees the set-up and the administration of qualifying life events and annual open enrollment for insurance benefits.Responsible for using discretion when determining eligibility for the Family and Medical Leave Act (FMLA) for a serious health condition, birth or adoption, military and workers' compensation leave of absenceDetermines eligibility for the Leave of Absence and Parental Leave PoliciesInteracts with medical providers to validate Medical Certifications to ensure that all forms are completed and conditions meet the regulatory definition of a serious health conditionResponsible for ensuring that Eligibility & Rights and FMLA Designation notifications are provided to the appropriate employee requesting a leave of absence in accordance with the Department of Labor requirementsRecords leave of absence status changes according to the Leave of Absence Policy and state leave guidelinesProvides management with recommendations and guidance regarding FMLA requirementsDocuments files in a clear and concise manner to respond to potential legal casesActs as a liaison between the employee, insurance carriers, outsourced COBRA and Billing Administrator, management, Legal and Payroll DepartmentsServe as a primary contact for carriers and employeesConfirms the accuracy and timeliness of disability benefitsAdministers the American's with Disabilities Act (ADA) and participates in an interactive process with employees throughout the process.Responsible for notifying employees at risk for losing health coverage under ACA.Work with the HR Management to select and implement new benefit products and solutions to meet the needs of the workforce.Responsible for developing and maintaining relationships with management to ensure excellent customer service.Conducts new employee orientation regarding new hire benefits enrollment.Other Duties & ResponsibilitiesParticipates in developing department goals, objectives and systems.Maintains compliance with federal, state and local employment and benefits laws and regulations.Maintains benefit and leave documents per company standard operating procedures.Administrative duties: filing, employee communication, etc.Supports HR team with additional duties and projects as needed.Knowledge, Skills & AbilitiesMust be able to sit, stand or walk for long period of time (4+ hours)Must have manual dexterity to operate a computer and other necessary office equipment.Polite, professional demeanor and appearance.Demonstrate commitment to teamwork.Must have the ability to uphold and demonstrate the highest level of integrity in all situations and adhere to regulatory, departmental, and company policies and procedures in an ethical manner.Critical thinking and problem-solving skills are essentialAbility to compile, compute, and analyze pertinent data needed for reports.Timely follow-through and attention to detail on all projects with excellent organizational and multitasking skills.Ability to easily adapt to changing priorities while performing job duties in stressful situations or handling complex communication.Knowledgeable of FMLA, ADA, COBRA, ERISA, HIPAA, ACA, PPACA, Section 125 and applicable state benefits lawsMaintain compliance to benefits laws, policies and proceduresMust be able to professionally handle sensitive information and maintain complete confidentiality.Must be a creative, high energy, hands on professional who can work independently in a fast-paced environment.Excellent communication and customer service skills.Ability to explain and enforce rules, policies and procedures.Must be able to initiate and engage in conversation in a professional and friendly manner.Strong proficiency in Excel, Word, HRIS systems required.Education and ExperienceBachelor's degree in Business or related field or equivalent combination of education and additional years of experience preferred.Minimum of four years' experience in Human Resources.A minimum of two years' experience with Benefits and Leave Administration
