Location Michigan, Georgia, or Florida preferred. The RoleReporting to the Chief Information Officer, this position will be responsible for providing leadership, direction, and management of the Facilities team ensuring all facility and maintenance needs are addressed. This person is responsible for setting the company's strategic direction for the facility and equipment maintenance program while managing various vendors across the company's major markets, working within the constraints of all facility leases with the third-party landlords, and escalating issues related to performance issues. The role is responsible for developing, monitoring, and meeting the investment and maintenance budget including facility build-outs, relocations, and renovations. This position will also collaborate across the organization to propose and implement solutions to improve maintenance practices and ensure outstanding services are delivered to all offices through proper leadership and direction to the Facilities team. This person will be responsible for interacting, supporting, and advising the senior leadership team on data-driven intelligence, analyses, and projections. They will ensure a positive, comfortable, and consistent patient experience with seamless accessibility of service.
Essential Duties & Responsibilities--- Oversees Facility Maintenance and Project Manager Team Members to ensure the team is fully executing the strategic vision of the department on a daily basis.--- Manages and communicates priorities for all department projects regarding capital and resource allowances to ensure all stakeholders are updated with the relevant information in a timely manner.--- Implements effective systems that provide exceptional customer service and response time to the offices and other functions within the Practice Support Center (PSC). Systems include internal ticketing systems and project management tools to effectively track, manage, and communicate small and large requests.--- Monitors service level metrics and internal satisfaction levels through metrics and reports from the ticketing software system as well as survey data.--- Ensures all contracts are reviewed on a schedule that provides the company with the ability to negotiate with or select replacement vendors covering items such as:

  • Office repair and maintenance
  • HVAC
  • Waste removal
  • Janitorial
  • Snow removal and landscaping
  • Biomedical and hazardous wastes
  • Dental equipment repair and maintenance--- Ability to determine repair versus replace as per equipment and physical facilities.--- Utilizes in-house counsel for legal assistance on large scale contracts or issues with landlords meeting their commitment to the facilities.--- Identifies and aligns facility and practice-level needs towards the generally accepted standard for offices and communicates future capital expenditure needs and planning to management.--- Oversees process to ensure all permits are tracked and fees paid for:
    • Hazardous wastes and radiation permits
    • Facilities related state permitting and regulations for offices--- Ensures office security needs are met implementing and monitoring policies and procedures.--- Sets protocols for fixed asset distribution and maintains inventory control processes.--- Oversees and ensures proper programs are in place for loaner equipment.--- Ensures preventive maintenance programs are maintained for all equipment.--- Oversees process for approved vendor and contractor lists.--- Reviews for accuracy and approves facility-related invoices bills for A/P.--- Performs routine audits of facilities through inspections to ensure conditions and work by facility technicians and vendors consistently meet expectations of GEDC.--- Management Responsibilities:
      • Selects and retains the best talent required to fulfill department needs.
      • Trains and cross-trains team to avoid disruption to customers during Facilities Team Member vacations or leaves.
      • Coaches and disciplines Team Members in a timely manner when needed.
      • Manages timecards to ensure correct payments and vacation, sick, or holiday time off banks are maintained.
      • Delivers performance feedback, reviews in a timely manner, and distributes compensation adjustments according to company standards and policies.--- Other tasks as requested by management.
        Education & Experience--- Bachelor's degree in Science or educational equivalency.--- 10+ years of experience with facilities and maintenance.--- Multi-site facility experience or knowledge of management of a network of facilities in a retail-like environment.--- Healthcare or dental industry experience is a plus, but not required.--- 5 to 7 years supervisory experience of leading teams greater than 5.--- 5 to 7 years of experience departmental responsibility for capital project planning and budgeting.--- Active participation in professional organizations is a plus.
        Knowledge, Skills & Abilities--- Skilled in managing business processes to ensure efficiency with the interaction between various departments within the company.--- Strong customer service skills with the ability to lead a team to deliver exceptional service to the rest of the company.--- Ability to "stay ahead of the calendar" as per budgets, schedules, objectives, initiatives, goals, and challenges.--- Ability to interact with senior leadership of the organization and communicate effectively verbally and through written and electronic correspondence.--- Effective at creating partnerships with operational management and other executives.--- Ability to assess, train, and develop team members and make personnel changes when necessary ensuring team productivity.--- Strong computer skills including Microsoft Office and the ability to use technology to streamline business processes.--- Excellent written and interpersonal communication skills.--- Act as a thought leader who is skilled with strategic planning.--- Proven success with vendor negotiations.--- Proactive management of operational and capital budgets. Strength in managing budgets and delivering information from P&L statements and using Excel to manage.--- Ability to work independently and professionally in a fast-paced environment.--- Ability to learn quickly and adapt rapidly to change.--- Ability to minimize unknowns and potential for surprise or uncertainty.--- Successful record of managing multiple tasks that require a high level of detail orientation, organization, and time management skills.--- Ability to drive processes and procedures with a successful track record of developing metrics and reports that are positively received.
